Duties

- Manage multi-line phone systems, directing calls accurately and courteously to appropriate departments or personnel
- Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and professionalism
- Maintain appointment calendars and schedule meetings using calendar management tools
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records and maintain databases
- Organize filing systems—both digital and physical—to ensure easy retrieval of documents
- Support office management tasks such as supply inventory, photocopying, proofreading documents, and maintaining a tidy reception area
Skills
- Proven experience in office management or administrative support roles with strong clerical skills
- Excellent customer service abilities with professional phone etiquette and bilingual proficiency (if applicable)
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and QuickBooks for bookkeeping purposes
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Accurate typing speed combined with keen proofreading abilities for document accuracy
- Experience working as a auto repair or collision repair receptionist is a plus, especially with calendar management in automotive settings
- Knowledge of multi-line phone systems, data entry procedures, filing systems, and basic bookkeeping practices
- Ability to manage time efficiently while juggling multiple responsibilities with a positive attitude
