Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with accuracy and professionalism
- Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
- Perform data entry tasks with high accuracy using Microsoft Office, Google Workspace, and other office software
- Organize filing systems, manage document proofreading, and ensure all records are up-to-date and easily accessible
- Support office management through clerical tasks such as photocopying, scanning, filing, and inventory management
Requirements
- Proven experience in MEDICAL office administration or reception roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Experience with Eaglesoft Dental software.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Bilingual abilities are highly desirable to assist diverse client needs.
- Previous experience as a medical or dental receptionist is advantageous but not required
- Personal assistant or office management experience will be considered favorably
- Ability to multitask efficiently while maintaining attention to detail in all duties
