Job Summary

Olympia Auto Sales is looking for a friendly, dependable, and highly organized Customer Service Representative to join our team.

We are a busy, fast-paced dealership, so we are looking for someone who is comfortable talking with customers, answering phones, following up with leads, scheduling appointments, and helping keep communication organized throughout the day.

This is an important position within our dealership. You will often be one of the first people a customer speaks with, whether they call us, submit an online inquiry, or walk through our doors. We want someone who can make customers feel welcome, communicate clearly, and help get them connected with the right member of our team.

The right person is positive, personable, organized, dependable, and comfortable working in a high-energy environment. You do not need to know everything about cars, but you do need to be willing to learn, communicate confidently, and stay on top of multiple conversations and tasks at once.

Responsibilities

• Answer incoming phone calls in a friendly, professional manner and direct customers to the appropriate team member
• Respond to customer inquiries received by phone, text, email, and online lead sources
• Follow up with customers who have expressed interest in one of our vehicles
• Schedule sales appointments and help confirm upcoming appointments
• Communicate with customers regarding vehicle availability and general dealership information
• Enter and update customer information, notes, appointments, and follow-up activity in our CRM
• Help ensure customer leads are responded to quickly and do not fall through the cracks
• Greet customers and visitors and help connect them with a salesperson
• Take accurate messages and communicate important information to the sales and management teams
• Work closely with our sales team to provide customers with a smooth and positive experience
• Help with other dealership-related tasks as needed

What We're Looking For

• Strong customer service and communication skills
• Friendly and confident personality, both in person and over the phone
• Excellent phone etiquette
• Comfortable making and receiving a high volume of customer calls
• Ability to learn and use CRM and dealership software
• Comfortable communicating through phone, text, and email
• Organized and able to keep track of multiple customers and tasks at the same time
• Dependable, punctual, and able to work well as part of a team
• Ability to stay professional and positive in a fast-paced environment
• Willingness to learn and take direction
• Previous customer service, receptionist, call center, BDC, administrative, or dealership experience is a plus
• Bilingual English/Spanish is a major plus
