COMPANY
The Oliveros Law Group is based in Clackamas, Oregon. Focused on Family law, Criminal and Personal Injury cases. Currently, the law firm is seeking a Full-Time receptionist/administrative assistant with customer service and office work experience. Work experience in a law office is a plus but not necessary. This is a career opportunity for the right candidate. This position will report directly to the Managing Director. Job duties are as follows but are not limited to:
JOB DESCRIPTION
The receptionist is responsible for acting and performing high-level “gate-keeper” responsibilities.
The receptionist is responsible for maintaining the reception area of the office.
The receptionist must be a self-starter and comfortable with minimal supervision.
The receptionist will have close client contact and must be professional in all aspects of the position.
The receptionist must be comfortable dealing with high call volumes.
The receptionist will assist in other office responsibilities as necessary and as assigned.
The Administrative Assistant will be proficient in Social Media practices.
JOB RESPONSIBILITIES
· Greeting clients and visitors and answering visitor inquiries;
· High level customer service skills;
· Answering and routing incoming calls on a multi-line telephone system;
· Scheduling and routing clients;
· Maintaining and scheduling conference rooms;
· Maintaining the waiting area, lobby or other public areas;
· Serving refreshments to guests;
· Ordering supplies;
· Scanning, photocopying, faxing and filing documents;
· Collecting and routing mail and hand-delivered packages;
· Provide support to paralegals, the office manager, and other staff, for the smooth operation of the office;
· Assist attorney(s) when needed;
· Provide administrative support to the Director and assist in certain marketing and sales duties
· Assist Director in managing events planning and special projects.
SKILLS OR EXPERIENCE
· Must be proficient in Microsoft Office suite - Word, Excel, Power Point and Outlook
· Ability to interact with people at all levels of the corporate structure, prioritize and handle numerous competing demands in a high-volume, fast-paced working environment
· Proven ability to work effectively in independent settings
· Ability to communicate effectively with a variety of contacts including outside attorneys, senior management, and business associates
· Excellent at Multi-tasking
· Ability to work independently
· Excellent verbal and written communication skills
· Advanced understanding of Facebook, Instagram, LinkedIn and Twitter
EDUCATION
High School Diploma required.
Must have 2 years customer service and professional office environment experience.
