The Executive Assistant of the Economic Development Division assists with the administrative duties of the division to encourage the creation of new investment and high-quality jobs in the Oklahoma City metro.
- Must be able to travel independently. Reliable transportation and a valid driver’s license are required. High amount of mobility is necessary.
- Position requires a professional demeanor and an orientation toward customer service with exceptional relationship-building skills.
- Position requires extended periods of sitting in an office environment while utilizing a computer, keyboard, mouse, and telephone.
- Must have excellent business writing and verbal communication skills.
- Ability to perform a full range of complex administrative support duties independently.
PRINCIPAL DUTIES
- Providing executive staff administrative support including, but not limited to, calendar and travel coordination, expense reporting, meeting support, Board reporting, and external correspondence.
- Providing administrative support to the economic development department including meeting and event planning, invoicing, client and visitor support and special projects as required.
- Providing contact management support through on-line management systems (including Salesforce and other team and project management tools).
- Providing management to team contracts and grants including reporting and application filings.
- Collecting data to support team metrics for internal and external stakeholders
- Providing administrative support for economic development programs including Forward Oklahoma City and the Greater Oklahoma City Regional Partnership.
- Ordering office supplies, distributing mail, maintaining equipment.
- Assist Senior Vice President and senior team members in monitoring Division expenditures and budget.
- Assists with various Chamber wide functions/events and other administrative support organization wide as requested.
- Coordinate project logistics and team efforts, including scheduling postings and site visits, to ensure smooth execution and operational efficiency.
- College degree preferred.
- Must be highly motivated, competent self-starter.
- Excellent written and oral communication skills.
- Excellent computer skills. Above average attention to detail.
- Ability to successfully manage a multitude of projects simultaneously.
- Exceptional organizational skills.
- Proficient in the use of technology including Microsoft programs and on-line database management tools.
- Experience providing executive level support for senior level staff.
- Must be able to maintain strict confidentiality.
