What are the responsibilities and job description for the Sales & Care Coordinator (Client Experience & Growth) position at Odyssey Performance Physical Therapy?
Sales & Care Coordinator (Client Experience & Growth)
At Odyssey Performance Physical Therapy, we believe movement is more than rehab. It’s how people stay connected to what matters most.
We’re building a movement and wellness hub in Oakland where clients don’t just get out of pain. They stay strong, capable, and engaged in the activities they love. Our clients are active adults who value high-quality care, clear guidance, and a team that truly understands their goals.
We’re looking for an energetic and passionate Care Coordinator who is looking to make an impact in a unique performance based physical therapy practice.
This is not a typical front desk role. You will be a critical team member in our cash-pay physical and performance therapy clinic. You are the first point of contact for new leads and current clients. This responsibility will shape how clients feel from their very first interaction through their entire journey with us.
What You’ll Do
Create a High-Level Client Experience
- Be the first point of contact for new leads (potential clients) and existing clients via phone, text, email, or in-person
- Create a welcoming, grounded, and professional experience that reflects the Odyssey brand
- Build trust quickly by listening, guiding, and helping clients feel confident in their next step
- Answer phone calls, text messages, emails, and DMs in a fast, timely, and professional manner
Own Lead Conversion and Sales
- Follow up with new leads in a fast and efficient time frame (5-10 min of opt in)
- Qualify and nurture leads by understanding each person’s goals and challenges, and clearly communicate how we can help
- Convert leads into scheduled evaluations through an honest, confident, and client-centered process
- Provide an excellent onboarding and customer experience (once eval is booked)
- Track leads, interactions, and conversions using our clinic’s CRM
Support Growth & Operations
- Track leads, conversions, and key metrics to help improve performance over time
- Assist with internal systems, communication, and day-to-day operations
- Contribute to social media and content efforts as needed
- Maintain accurate and updated tracking reports for clinic operations and CRM
Be a Culture Carrier
- Embody our values: quality, individuality, collaboration, and innovation
- Communicate clearly and proactively with the team
- Help create a space where clients feel like they belong, not just receive care
Who This Role Is For
You’ll thrive here if you:
- Enjoy connecting with people and making them feel seen and understood
- Have a strong sales background and are comfortable with high call volumes
- Take ownership and pride in doing things well (not just getting them done)
- Are organized, detail-oriented, and able to manage multiple priorities
- Want to grow with a company and take on more responsibility over time
Requirements
Mandatory:
- Strong communication skills (phone, text, email, in-person)
- Strong sales or customer service background
- Comfortable with high call volumes and communication via phone calls
- Proficient with computers (Google Workspace, CRM tools, slack, etc.)
- Ability to stay organized, adaptable, and solutions-focused
Preferred:
- Experience in healthcare, fitness, or wellness settings
- Familiarity with EMR systems (e.g., Jane) or CRM platforms
- Social media/content creation experience
- Experience working in hospitality
Compensation & Benefits
- $24–28/hour, based on experience
- Performance bonus tied to lead conversion and clinic growth (full-time)
- Clear pathway to full-time role and expanded responsibilities
- Opportunity to grow into operations, marketing, or leadership roles
- Health, dental, and vision insurance (full-time)
- 401(k) with match (full-time)
- Paid time off holidays (full-time)
Schedule & Structure
- Hybrid (remote some in-person in Oakland)
- Monday through Friday
- Part-time with opportunity to move to full-time
