Customer Service & Scheduling Coordinator (HVAC)

As we continue to grow, we are looking for a Customer Service & Scheduling Coordinator to play a key role in keeping our service operations organized, efficient, and customer-focused.
Schedule: Monday through Friday, 7:00 AM to 4:00 PM
Pay: $20.00 to $24.00 per hour, depending on experience, plus performance-based spiffs

About the Role:
As the Customer Service & Scheduling Coordinator, you will be the first point of contact for customers while managing the day-to-day scheduling of service calls and supporting technician dispatch. This role is critical to maintaining a smooth workflow by ensuring appointments are scheduled efficiently, customers are kept informed, and technicians have the information they need to complete jobs successfully. You will handle inbound calls, schedule and coordinate service appointments for maintenance, repairs, and installations, adjust schedules in real time to maximize efficiency, communicate updates or delays to customers, maintain accurate records in the system, and support field staff with job details, parts coordination, and follow-up. This position requires strong communication, organization, and the ability to manage multiple priorities in a fast-paced environment.
Qualifications:
• Minimum of 2 years of in-office customer service or administrative experience (HVAC or home services preferred)
• Experience with scheduling or dispatching is strongly preferred
• Strong communication skills, both written and verbal
• Highly organized with strong attention to detail
• Ability to multitask and prioritize in a fast-paced environment
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Experience with dispatching or CRM software (ServiceTitan or similar) preferred
• High school diploma or equivalent required
