Job Summary
We are seeking a friendly, reliable and highly organized front desk receptionist to join our busy occupational therapy office. Medical office experience is required. This role is essential in creating a positive first impression for patients while ensuring efficient front desk operations.
Front Desk Support Specialist:
- Welcome patients warmly and professionally, creating a positive first impression
- Report to the Front Desk Office Manager, ensuring all administrative tasks align with office protocols
- Schedule and confirm appointments, managing the calendar efficiently, optimizing the clinic's workflow
- Handle patients' check-ins and check-outs efficiently, ensuring all necessary forms are completed
- Verify insurance, authorizations, handling insurance denials and appeals
- Collecting copays, deductible and patient balances
- Answer phone calls, emails, and other inquires promptly and courteously
- Assist with administrative tasks such as filling, scanning, faxing
- Address patient inquiries and concerns promptly, demonstrating excellent customer service skills
- Collaborate with office manager and healthcare providers to facilitate seamless patient care, efficient clinic operations and positive experience for all patients
- Maintain accurate patient records using the clinic's electronic medical record (EMR) system
Technical Skills:
- Proficiency in scheduling software and electronic medical records (EMR)
- Medical billing and coding basics
- Insurance verification and authorizations
- HIPPA compliance knowledge
- Microsoft Office Suite: Outlook, Work, and Excel)
- Data entry accuracy and speed
- Fax, scanner, and office equipment proficiency
Interpersonal Skills:
- Fluency in Spanish required, to effectively communicate with Spanish-speaking patients and families
- Excellent verbal and written communication skills
- Compassionate and empathetic when working with patients of all ages and abilities
- Ability to work collaboratively within a team-oriented environment while maintaining professionalism

Administrative Skills:
