Salary Range $90,000 to $105,000 per year
Role Description The Executive Assistant to the Chief Executive Officer is a full-time, on-site role based in Farmingdale, NJ. This role manages the CEO’s calendar, schedules meetings, coordinates travel, and organizes internal and external appointments to ensure effective time management. The Executive Assistant prepares and processes expense reports, drafts and edits correspondence, presentations, and meeting materials, and maintains confidential records and files. Day-to-day responsibilities include coordinating executive meetings and agendas, tracking action items, supporting follow-up with internal teams and external partners, and serving as a key point of contact for stakeholders. The role also involves handling administrative tasks such as document management, meeting minutes, office coordination related to the CEO’s activities, and supporting special projects as needed.
Qualifications
- Demonstrated experience in Executive Administrative Assistance and Executive Support, preferably supporting C-level leadership.
- Strong Diary Management skills, including calendar coordination, scheduling, and prioritizing competing demands.
- Proficiency in preparing and reconciling Expense Reports with attention to detail and accuracy.
- Solid Administrative Assistance capabilities, including document preparation, record keeping, and task coordination.
- Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- High level of discretion and integrity in handling confidential information and sensitive matters.
- Strong organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Comfort with office productivity tools (e.g., Microsoft Office or Google Workspace) and basic project coordination.
- Prior experience in manufacturing, nutraceuticals, or a similar industry is beneficial.
- Associate or bachelor’s degree in Business Administration, Communications, or a related field, or equivalent professional experience.
