The Practice Team Assistant provides essential administrative and clerical support to attorneys and legal support staff within assigned practice groups. This role helps maintain efficient daily operations by managing scheduling, document processing, file organization, and general administrative workflows in a fast-paced professional environment.
Responsibilities- Handle incoming mail, phone coverage, and front desk support, including greeting visitors and coordinating meeting room access
- Assist with scheduling needs such as meetings, conference calls, virtual meetings, travel arrangements, lunch orders, and transportation services
- Prepare, format, proofread, and finalize correspondence, reports, and other documents for accuracy and completeness
- Provide general administrative support including research, information requests, and data entry tasks
- Manage document workflows including scanning, copying, printing, e-filing, and organizing both physical and electronic files
- Maintain and update contact databases and CRM systems, ensuring data accuracy and resolving conflicts as needed
- Process expense reports, reimbursement requests, and other financial documentation in accordance with company policies
- Track receipts and support reconciliation of expenses, credits, and reimbursements
- Support time entry tasks and maintain related records as assigned
- Assist with audit-related correspondence and other compliance documentation when required
- Coordinate messenger, courier, and copy center requests, including preparation of large or sensitive document packages
- Support special projects and provide overflow administrative assistance to team members as needed
- Ensure all work is completed accurately, confidentially, and within required deadlines
