The Administrative Assistant for Enrollment, Registration and the School Committee
Provide high-level administrative support to the school district and oversee the enrollment and registration of students in the Norwood Public Schools. Additionally, provide support to the School Committee and serve as the confidential secretary during school committee meetings and contract negotiations and the school committee clerk for documents and meetings. The position plays a key role in managing the growing volume and complexity of administrative responsibilities related to student enrollment and school committee matters
The ideal candidate is highly organized, proactive, and capable of managing multiple priorities. This role supports the efficient operation of the NPS Welcome Center, collaborates with other departments and schools, to manage enrollment, registration and residency matters.
General Summary of Responsibilities:
Enrollment and Registration
•Coordinate and lead operations related to enrollment and registration of students in the Norwood Public Schools.
•Prepare reports and materials for internal and public use as directed by the Superintendent.
•Maintain records, documentation, and correspondence related to enrollment, registration, and residency recertification.
•Coordinate communication with families, schools, staff, and external partners as needed.
•Assist with logistics for registration and enrollment of students.
•Register new students and maintain changes and updates to the student information system (Aspen), including the transfer and withdrawal of students and maintenance of health records.
•Perform other duties as assigned by the Superintendent and/or Director of Safety, Compliance and Communications
Confidential Secretary to the School Committee
•Coordinates and manages all communication between School Committee and interdepartmental town boards and committees
•Coordinate School Committee Website management and updates
•Manages School Committee Email/Public Emails/Answer School Committee voicemail calls, e-mail, etc.
•In collaboration with School Committee Chair and Superintendent, Responsible for development of school committee regular, special, and subcommittee meeting agendas and for materials preparation and distribution
•Prepares and coordinates School Committee Press Releases as directed by the Chairperson.
•Record keeping
•Ability to maintain confidentiality in all aspects of the job.
School Committee Clerk
•Provide general secretarial services for the School Committee Chairperson and members as required.
•Post all School Committee meetings and subcommittee meetings as required by law at the Town Clerk’s office, Library and School Department “on line”.
•Schedule appearances before the School Committee and act as the liaison as requested by the Chairperson.
•Assist in the set up of the School Committee room for meetings and dispose of materials after the meeting.
•Maintain a School Committee “To Do List” for requests
•Attend all School Committee regular and special meetings (usually Wednesday evenings), as well as subcommittee meetings (held at various times) and transcribe Minutes and “To Do List.”
•Prepare a draft of minutes for distribution to the School Committee members prior to the next meeting and maintain in permanent records after approval.
•Prepare Yearly Meeting Schedule
•Coordinate with, and assist, the Secretary of the Superintendent as required for all School Committee activities.
•Prepare a periodic School Committee Newsletter
•Prepare and coordinate School Committee Press Releases
•Coordinate School Committee Website
