 Job Summary: 

This position provides essential administrative and operational assistance to the Museum’s Artist in Residence (AiR) program. Reporting to the Chief Curatorial Officer (CCO), the Artist Coordinator supports the management of the residency program which welcomes approximately four artists per year. In this role, the Artist Coordinator will serve as the day to day liaison between resident artists and the institution, ensuring they are appropriately welcomed, oriented, and supported throughout their residency. They will be responsible for the comprehensive administration of the AiR program, including facilitating artist selection, organizing residency schedules, coordinating workshops, programs, and tours, and ensuring a seamless experience for residents and the Museum alike. In addition to contributing to the AiR program, this position will work closely with the CCO and Curators to host visiting artists involved in the Museum’s speaker program during their short term stays on the Norton campus. 

Primary Duties and Responsibilities: 

  • Assisting the CCO and Curators in identifying prospective artists and facilitating the Museum’s formal invitation process.
  • Coordinating all AiR contracts, financial documentation, and administrative materials required for artist onboarding.
  • Overseeing artist orientation upon arrival, including coordinating travel arrangements and ensuring a smooth transition into the residency. This also includes coordinating hospitality logistics such as producing and maintaining welcome materials, itineraries, local resources, and museum access; as well as ensuring compliance with Museum policies, including safety protocols
  • Ensuring residency housing and studio spaces are prepared, clean, and fully stocked; collaborating with the Facilities team to communicate all necessary preparation details
  • Reserving and managing the home residency on the Museum’s internal calendar
  • Serving as the primary point of contact for resident artists throughout their stay and routing information, feedback, and requests from artists in residence to the appropriate departments in a timely and accurate manner
  • Maintaining residency schedules, including studio visits, internal meetings, and public engagements.
  • Tracking program budgets related to travel, supplies, events, and hospitality.
  • Assisting with documentation of artist projects and programs for archival and reporting purposes.
  • Collaborating with Communications and Creative Services to maintain an accurate AiR webpage and support announcements or social media needs related to the program.
  • Coordinating with the Learning and Community Engagement (LCE) team on artist led workshops, programs, tours, and other public facing activities; as well as providing occasional on site support during those events.
  • Working with the Development team to provide updates and reporting on the AiR program for key donors.
  • Supporting program evaluation by gathering artist feedback and contributing to continuous improvement.
  • Maintaining accurate records of past and current residents, including contracts, schedules, and program outcomes.
  • As needed, host visiting artists outside of the AiR that are involved in the Museum’s speaker program during their short term stays on the Norton campus. This would include coordinating hospitality logistics such as producing and maintaining welcome materials, itineraries, local resources, and museum access.

Requirements and Qualifications:

  • Bachelor’s degree in art history, studio art, or a closely related discipline is preferred
  • 1 to 2 years of nonprofit or art museum experience; fellowship and internship experience considered
  • Excellent proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, and OneDrive), Box.com, Adobe, Zoom, and Monday.com
  • Excellent written and verbal communication skills, with the ability to manage multiple information streams and work effectively with artists, arts professionals, and the public
  • Capacity to reprioritize in response to unexpected artist or staff needs
  • Proven ability to work independently and collaboratively while coordinating multiple projects and deadlines
  • Experience supporting public facing events preferred

Hours and Compensation: 

  • Monday through Friday: 9am to 5pm
  • Full Time, Non Exempt
  • Compensation: Commensurate with experience

Location Requirements:

At the time of employment, employees are expected to be located within reasonable commuting distance of the museum. Commuting Distance means they are located in South Florida, and able to commute to and from the Museum in a single day.
