The Office Specialist, Student Services, is directly accountable to the Associate Director, Enrollment Services, for the following duties and responsibilities.
- Promote a positive image on behalf of the College by greeting and receiving visitors, students, and colleagues. Respond appropriately to inquiries from diverse College stakeholders based on an effective assessment of need and urgency.
- Respond to phone calls, emails, in-person and web inquiries in a professional, customer service-oriented manner.
- Work at the front welcome desk for Student Services to ensure appropriate coverage when needed.
- Process all incoming and outgoing Departmental mail.
- Answer routine questions related to Student Services' policies and procedures.
- Maintain and order office supplies; ensure appropriate supplies are on-hand for copy machines.
- Work with financial aid to process financial aid forms and documents and manage the Federal Work Study program.
- During peak registration times, process official NWFSC transcript requests submitted via the College's Transcript Plus system and the Florida Automated System for Transferring Educational Records system (F.A.S.T.E.R.) or other clerical duties to support the Academic Records and Enrollment department.
- Monitor and maintain budgets for the Student Services Division in accordance with college policies and procedures, including the preparation and tracking of purchase requisitions and blanket purchase orders.
- Draft meeting minutes as requested by Student Services leadership.
- Coordinate meetings to include set-up, location, and time.
- Provide general administrative support for the Student Services department.
- Provide clerical, administrative, and special projects support to the Senior Vice President and Student Services leadership team, as assigned by your supervisor.
- Adhere to College policies, procedures, and ethical standards while safeguarding the confidentiality of the College.
- Perform other duties as assigned.
- As a part of the college's risk management tool annual mandatory compliance training is required.

- High School Diploma or equivalent required plus 1-4 years of documented relevant work experience required.
- Associate degree with 1-4 years or Bachelor's degree plus 1 year relevant work experience recommended.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) required.
- Excellent customer service skills.
- Demonstrated excellence in written and oral communication.
- Strong interpersonal and organizational skills.
