Position Overview
We are seeking a detail‑oriented, patient‑focused Medical Front Desk Specialist with strong experience in referrals and prior authorizations to be the welcoming face and operational backbone of our medical practice. This role is ideal for someone who thrives in a fast‑paced healthcare environment, understands insurance processes, and takes pride in ensuring patients receive timely access to care.
You will play a critical role in both patient experience and revenue cycle support, serving as a key liaison between providers, patients, and insurance companies.
Key Responsibilities
Front Desk & Patient Services
- Greet patients professionally and compassionately, in person and by phone
- Schedule appointments, verify demographics, and confirm insurance coverage
- Collect co‑pays, deductibles, and outstanding balances at check‑in
- Maintain a calm, courteous demeanor while managing high call and patient volume
Referrals & Prior Authorizations
- Obtain and process referrals in accordance with payer and provider requirements
- Submit prior authorization requests for procedures, imaging, medications, and specialty services
- Track authorization status and follow up with payers to prevent delays in patient care
- Communicate authorization approvals, denials, or additional requirements to clinical staff and patients
- Maintain accurate documentation in the EHR and referral tracking systems
Insurance & Administrative Support
- Verify insurance eligibility and benefits prior to appointments
- Resolve referral and authorization issues in a timely and professional manner
- Collaborate with providers to ensure documentation supports medical necessity
- Scan, upload, and index medical records and insurance documents
- Assist with general administrative duties to keep front office operations running smoothly
Required Qualifications
- High school diploma or equivalent (Associate degree preferred)
- Minimum 1–2 years of experience in a medical front office or similar healthcare setting
- Demonstrated experience with referrals and prior authorizations
- Strong knowledge of insurance plans (HMO, PPO, Medicare, Medicaid)
- Proficiency with EHR/PM systems and basic computer applications
- Excellent communication, organizational, and multitasking skills
Preferred Skills & Attributes
- Experience in a specialty practice (preferred)
- Familiarity with CPT, ICD‑10
- Ability to problem‑solve insurance issues independently
