General Office Administration
- Manage front desk responsibilities, greeting office visitors as well as field staff and directing them appropriately with professional phone etiquette
- Maintain organized filing systems, both physical and digital
- Support day-to-day office coordination and communication
- Oversee office supply inventory, place orders as needed, and ensure the facility remains functional
- Process mail and manage company email
- Provide support on special projects and reporting
HR & Employee Support
- Assist with onboarding paperwork and new hire file setup
- Maintain employee records and ensure documentation is complete
- Support benefits administration tasks and employee communications
- Schedule compliance related drug tests and physicals
- Provide backup support for HR compliance tracking as needed
Payroll Support (backup role)
- Provide backup support for payroll processing
Accounts Payable
- Process vendor invoices and ensure proper coding and approvals
- Assist with weekly check runs and vendor payments
- Maintain accurate vendor files and respond to inquiries
- Support reconciliation of invoices and statements
Qualifications
- 2 years of administrative, accounting or office support experience
- Exposure to HR, payroll, or accounts payable preferred
- Strong attention to detail and organization skills
- Ability to manage multiple priorities and meet deadlines
- Strong communication and follow-up skills
- Proficiency in Microsoft Office; experience with accounting or payroll systems is a plus
