Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel
- Handle appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records to support office operations
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
- Support office management tasks such as supply inventory, mail distribution, and maintaining a tidy reception area
- Provide exceptional customer service by addressing inquiries professionally and courteously
- Proofread documents for accuracy and clarity before distribution or filing
- Support administrative functions including typing correspondence, managing emails, and supporting personal assistant duties as needed
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent phone etiquette with experience handling multi-line phone systems and customer support calls
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Experience with data entry, filing systems, proofreading, and administrative support tasks
- Knowledge of medical or dental receptionist duties is a plus but not required
- Personal assistant or medical receptionist experience is advantageous for handling calendar management and client interactions
- Familiarity with bookkeeping software such as QuickBooks is preferred but not mandatory
