Key Responsibilities
- Serve as a primary point of contact for student inquiries related to clerkships, schedules, and requests
- Coordinate and assign monthly clinical clerkships for third- and fourth-year students
- Process time-off requests, schedule changes, and away clerkships
- Communicate with clinical faculty, hospital sites, and students to ensure clerkship availability
- Manage hospital badging and onboarding processes for students
- Maintain accurate records in multiple databases (Exxat, Smartsheets, VSLO, Clinician Nexus, MyClinicalExchange, Canvas)
- Assist with faculty credentialing and preceptor onboarding and renewals
- Support recruitment and retention of qualified clinical preceptors
- Produce reports and communicate scheduling gaps or risks to leadership
- Perform additional duties as assigned in support of department goals
- Bachelor’s degree or 3–5 years of relevant experience (equivalent experience accepted)
- Strong proficiency with Microsoft Office; ability to learn new database systems
- Excellent communication, organization, and time‑management skills
- Ability to manage multiple priorities with accuracy and professionalism
- Flexibility to work occasional early, late, or weekend hours
- Ability to lift up to 40 lbs. and work independently and collaboratively
- This role follows a competency‑based growth ladder from Coordinator I through Senior Coordinator, with advancement based on performance, ownership, and process improvement—not tenure
