SUMMARY:
The Deputy Chief Coordinator primarily supports the Talent Acquisition (TA), HRIS and Candidate Outreach teams by maintaining applicant records, managing employee timecards, running talent acquisition reports, assisting with the scheduling and coordinating of Outreach events and other administrative tasks as needed.
This role will also provide applicable administrative support for all Deputy Chiefs of Human Resources (4).
ROLES & RESPONSIBILITIES:
Provide administrative support to Deputy Chiefs of Human Resources, including but not limited to Outlook and/or calendar management, and assistance with Microsoft Suite (Word, PowerPoint and Excel).
Manage job board relationships.
Post job openings on company career sites, job boards, and social media channels as needed.
Assist in preparing job descriptions and recruitment materials.
Organize and maintain recruitment files, reports, and documentation.
Track recruitment metrics such as time-to-hire, candidate pipeline, and job posting performance.
Process invoices, vendor contracts, and recruitment-related expenses.
Prepare weekly status reports and dashboards for TA leadership.
Manage employee timecards and out-of-office requests.
EDUCATION, EXPERIENCE & QUALIFICATIONS:
Associate’s Degree in Business Administration or other relevant degree (Bachelor’s Degree preferred) and 3-5 years of administrative or HR support experience. One year of closely related work experience can be substituted for each year of education required.
Recruitment experience is a plus.
Familiarity with Applicant Tracking Systems (ATS), experience with Oracle HCM is a plus.
KNOWLEDGE & SKILLS:
Ability to provide exceptional support in a fast-paced environment.
Proficiency with MS Office (Word, Excel, Outlook, PowerPoint).
Strong attention to detail, and problem-solving skills.
Strong communication, organization, and time-management skills.
Ability to handle confidential information with discretion
