Job Overview:
Nicolet Law is seeking a highly organized and proactive Recruitment Specialist to join our Human Resources department. This hybrid role involves managing office functions, ensuring a smooth working environment, while playing a key role in attracting and hiring top talent while supporting employee onboarding, record management, compliance, and employee engagement initiatives. Responsibilities:
Office Assistance
- Maintain office supplies inventory and place orders when necessary.
- Be the first point of contact for maintenance, service providers, and office visitors.
- Maintain a clean and organized office environment.
- Manage incoming/outgoing mail and correspondence.
- Manage bank deposits as needed.
- Support IT, facility, or operational needs as required.
Recruitment
- Manage full recruitment process including job posting, sourcing, screening, interviewing, and candidate selection.
- Schedule interviews and serve as the primary point of contact for candidates throughout the hiring process.
- Create and maintain job descriptions and job advertisements.
- Source candidates via job boards, social media, professional networks, and other recruitment channels.
- Attend job fairs as needed.
- Prepare and extend employment offers and negotiate terms when appropriate.
- Maintain accurate recruitment records and applicant tracking systems.
- Montior recruitment, hiring, and retention metrics.
- Ensure recruitment and onboarding processes comply with federal, state, and local employment laws.
- Assist with HR Standard Operation Procedures, policy updates, and improvements as needed.
- Assist Human Resources Manager as needed with additional tasks as assigned.
Onboarding
- Facilitate new hire orientation sessions and introductions to company culture, values, and processes.
- Prepare and distribute onboarding materials, including employment documents, policies, and training resources.
- Collaborate with IT, Facilities, Payroll, and department managers to ensure new employees have the necessary tools and resources.
- Track completion of onboarding tasks and required compliance documentation.
- Assist with new hire check-ins as needed.
- Help manage firm learning management system including managing learning and training assignments, monitoring completion rates, supporting users, and partnering with leadership to develop ongoing employee training and compliance initiatives.
- Support employee transitions during promotions, transfers, and internal movements.
Qualifications:
- 2 years experience in Human Resources, recruiting, talent acquisition, or a related administrative support role.
- High school diploma or equivalent (Bachelor’s degree in HR, Business Admin, or related field preferred).
- Knowledge of employee training, compliance requirements, and learning program administration.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with HR/HRIS software/systems.
- Discretion with confidential information.
- Friendly, approachable, and professional demeanor.
- Experience with recruitment and hiring preferred.
