Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties
- Greet visitors warmly, answer multi-line phone systems, and direct calls with professional phone etiquette
- Manage front desk operations, including greeting guests, handling mail, and maintaining a tidy reception area
- Schedule appointments, coordinate calendar management, and organize meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes
- Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs
- Support office management activities such as supply ordering, maintaining office equipment, and managing office documentation
Skills
- Work experience as an Executive Assistant, Personal Assistant, receptionist, or similar role
- Excellent MS Office knowledge
- Outstanding organizational, multi tasking, and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- High School degree
- Bilingual in English and Spanish (required)
