What are the responsibilities and job description for the Church Secretary position at New Zion Missionary Baptist Church?
New Zion Missionary Baptist Church is seeking a part-time secretary. The Secretary is responsible for the operation of the church office and is general secretary to the Pastor.
Responsibilities and Duties
- Serve as the first point of contact for the church by greeting visitors, answering calls, and handling inquiries with courtesy and professionalism.
- Provide administrative support to the Pastor, including managing correspondence, scheduling meetings, maintaining files, and preparing expense vouchers and other requests as needed.
- Retrieve mail at least twice a week from the local post office and from the street mailbox daily; open, sort, and distribute mail to the appropriate parties.
- Coordinate communication and scheduling between the Pastor, ministry leaders, church committees, and the community.
- Provide support in maintaining the church’s membership database as needed.
- Prepare Sunday bulletins, special event programs, and new member correspondence.
- Collaborate with Church Council and Facility Use Coordinator in the organizing and scheduling of church-related activities, special events, use of facilities, and publish the annual church calendar.
- Support ministry leaders with event logistics and communication for the website and outdoor marquee system.
- Monitor and manage office supplies and equipment maintenance needs.
Qualifications
Applicants should have at least a high school diploma or GED and at least two - years proven experience as secretary or administrative assistant, preferably working for a church or non-profit organization with volunteers. Applicant should be proficient in the use of standard office equipment and software (computers, copy machines, Microsoft Word, Excel, Outlook etc.). Additionally, a professional attitude and appearance, excellent written and verbal communication skills, strong problem-solving skills, excellent interpersonal skills, and the ability to work well with management, staff and the public, are critical qualifications for anyone occupying this position.
