We are currently partnered with a digital agency based in Portland, Oregon that is looking for an Office Manager for a 5-month contract. This is a temporary position covering a maternity leave. Candidates must work on-site 5 days per week in the Portland office.
Job Description:
Office Operations
- Serve as the primary point of contact for all day-to-day office operations and facilities management
- Manage vendor relationships including building management, cleaning, maintenance, IT support, and office supplies
- Ensure the office is consistently organized, fully stocked, and running efficiently
- Oversee mail, deliveries, and courier coordination
Executive & Team Support
- Provide administrative support to senior leadership including scheduling, calendar management, and travel coordination
- Organize and prepare for internal meetings, off-sites, and team events
- Manage conference room bookings and visitor coordination
- Handle expense reporting and invoice processing
What We're Looking For
Required:
- 3 years of office management experience in a creative agency, tech company, or similar fast-paced professional environment — this is non-negotiable
- Proven ability to manage a busy, dynamic office independently with minimal supervision
- Strong organizational skills with exceptional attention to detail
- Excellent communication and interpersonal skills — you're warm, professional, and solutions-oriented
- Comfortable wearing multiple hats and pivoting quickly as priorities shift
- Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs) and/or Microsoft Office
- Ability to commit to a fully onsite schedule, Monday through Friday
