Our client is a growing mental health practice looking for a proactive, reliable Office Manager to help lead daily office operations and support both our clinical and administrative teams. This is a key leadership role for someone who enjoys ownership, problem‑solving, and building efficient systems.
What You’ll Do:
Lead Office Operations
- Oversee the front desk and manage daily clinic flow
- Coordinate scheduling systems and ensure smooth patient flow
- Keep day‑to‑day office operations running seamlessly
Support Staff & HR Processes
- Assist with onboarding and training coordination
- Support HR and performance processes
- Maintain staff schedules, time tracking, and PTO records
Patient Coordination
- Oversee scheduling workflows
- Support patient communication and handle escalations with professionalism and care
Billing & Administrative Support
- Collaborate with billing on reports, updates, and policies
- Assist with soft collections and balance communication
- Maintain organized templates, records, and tracking systems
Technology & Systems
- Oversee phone systems, internet services, and general office technology needs
Team Collaboration
- Participate in administrative and operations meetings
- Support overall practice efficiency, organization, and growth
Additional duties may be assigned as the practice continues to grow.
What We’re Looking For:
- 3 years of medical or healthcare office administration experience (required)
- HR experience (required)
- Strong organizational and multitasking skills
- Clear, professional communication style
- Comfort with office systems and technology
- Ability to handle sensitive information with discretion
- A positive, team‑oriented mindset with strong problem‑solving skills
