We’re looking for a candidate who enjoys working in a collaborative team environment and provide leadership and oversight to ensure the successful completion of digitization projects. This role will manage staff across various locations (customer sites, Neumo headquarters, and remotely), coordinate project operations, maintain customer relationships, and ensure the timely delivery of high-quality digital services.

Duties and Responsibilities:

  • Help Neumo grow our operations in Chicago by getting a new long-term contract launched. You’ll help establish our workflows by optimizing efficiency, implementing quality assurance checks and balances, and building your own team from the ground up.
  • Oversee and manage an on-site team, ensuring optimal performance and productivity. Create a production schedule which will evenly distribute your team across necessary prepping, scanning, quality control, and indexing tasks.
  • Develop and implement training programs for new and existing employees to improve their skills and ensure adherence to best practices. Foster a culture of continuous learning within the team.
  • Monitor production across multiple scanning projects (various mediums and scanning equipment), set production goals, and resolve production issues with individuals or teams.
  • Evaluate and manage data processing tools, software, and systems. Work with IT and technical teams to ensure the department has the necessary resources and tools for efficient operation.
  • Prepare and deliver files on a regular basis, advancing them to our indexing team or the customer directly depending on contract terms. Notify customers of completed deliveries and address any follow-up questions or concerns. Provide daily support to customers, assisting with inquiries and liaising with other departments as needed.
  • Monitor and report monthly verification totals for accurate customer invoices and prepare production forecasts.
  • Perform other duties as assigned.

Education and Experience:

  • Bachelor’s degree, preferably in Business, Information Technology, Data Management, or a related field.
  • 2-3 years management experience
  • Extensive professional experience (5 years) with a preferred emphasis in land records indexing, digitization, data entry, or management.


Knowledge, Skills and Abilities:

  • Proven experience in supervising teams, preferably in indexing, digitization, or related fields.
  • Strong understanding of digitization processes, including experience with scanning equipment, accurate data entry, and image quality standards.
  • Strong computer and technical skills, with the ability to efficiently create and monitor excel inventory logs, troubleshoot scanning equipment and software, and generate reports.
  • Excellent analytical and problem-solving abilities. Capable of identifying issues, determining solutions, and implementing them effectively. Must be able to resolve production challenges quickly.
  • Exceptional customer service and communication skills, with a strong emphasis on written communication and collaborating directly with clients.
  • Highly organized with the ability to manage multiple projects simultaneously, prioritize tasks, and meet strict turnaround deadlines.

Work Environment:

  • This position involves on-site management of teams at 2 customer sites, about 20 minutes apart.
  • Regular communication with team members, clients, and technical support is required.
  • The ability to adapt to a dynamic work environment and maintain a customer-focused approach is critical.

Physical Demands:

  • Ability to lift up to 50 pounds safely.
  • Ability to remain in a stationary position for extended periods.
  • Frequent use of office and warehouse machinery, including scanners, computers, printers, and pallet jacks.
  • Regular communication via telephone, email, and in-person meetings.
