Position Overview
Based in San Francisco, the Legal Secretary will provide high-level administrative and clerical support to a team of attorneys. This is a fast-paced role requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities.
Key Responsibilities
- Prepare, format, and proofread legal documents, including pleadings, correspondence, and memoranda
- Create document shells, including tables of contents (TOC) and tables of authorities (TOA)
- Assist with new matter intake, including conflict checks, file opening, and engagement letters
- Prepare government filings and transactional closing materials, as applicable
- Enter attorney time entries and maintain timekeeping records
- Support billing processes, including reviewing and editing pre-bills, preparing client communications, and coordinating final bill distribution
- Manage document organization, scanning, filing, and maintenance in both physical and electronic systems
- Coordinate and schedule depositions, hearings, and meetings, including logistics such as court reporters, rooms, and catering
- Maintain calendars, track deadlines, and provide timely reminders to attorneys
- Handle incoming calls, messages, and inquiries professionally
- Arrange travel and process expense reimbursements and vendor invoices
- Maintain and update client and contact databases
- Provide additional administrative support as needed
Qualifications
- Strong knowledge of state and federal court filing procedures, including e-filing
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent attention to detail and accuracy
- Typing speed of at least 60 wpm with high accuracy
- Strong written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Highly organized with strong follow-through
- Collaborative mindset with the ability to work effectively across teams
- Flexibility to adjust schedule and work overtime as needed
Education
- High school diploma or equivalent required
- College degree preferred
- Litigation experience required
Experience
- Minimum of 5 years of legal secretarial experience within relevant practice areas (e.g., Litigation, Labor & Employment, International Trade, Real Estate, or Public Finance)
- At least 2 years of experience supporting a billing attorney preferred
Compensation & Benefits
This is a non-exempt, hourly position eligible for overtime.
The anticipated base salary range for this role in San Francisco is $95,000 – $130,000 annually, depending on experience and qualifications.
