Position Purpose

The Administrative Support Specialist I provides foundational clerical and administrative support to the Retirement Claims department. This high-volume, fast-paced role requires steady focus and strong dedication to manage a continuous daily workflow in a busy office environment. This role is responsible for handling incoming mail, maintaining organized filing systems and files, scanning files, performing accurate data entry, and assisting team members with day-to-day administrative tasks under close supervision.

Duties/Responsibilities

Administrative & Clerical Support:

  • Process and distribute incoming mail and correspondence.
  • Create and maintain files for new retirement applications and member records.
  • Perform accurate and timely data entry into department systems and databases.
  • Prepare standard letters and form correspondence under the direction of department staff.
  • Manage office files and maintain an organized filing system, both physical and electronic.
  • Maintain inventory of department supplies for client mailings, including letterhead and envelopes, and place orders when needed.
  • Provide general administrative support to team members and management.

Communication & Teamwork:

  • Respond to routine inquiries from internal staff in a professional and timely manner.
  • Work cooperatively with team members to support department operations.
  • Utilize Google Workspace, Basys, and Microsoft Office Suite to complete daily tasks.

Other Functions

  • Performs other administrative duties as assigned.

Education and/or Experience

To perform this job successfully, an individual must have the following education and/or experience.

  • High school diploma or equivalent required.
  • Prior administrative or clerical experience preferred.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail); proficiency in Microsoft Word and Excel; familiarity with benefits software such as Basys preferred.
  • Experience with data entry and electronic filing systems preferred.

  • Ability to multitask and prioritize tasks effectively.

  • Familiarity with data entry processes and procedures.

  • Ability to sit for extended periods of time and to move intermittently throughout the workday.
  • Ability to reach, stand on a stool, bend over, and otherwise handle filing in physical file cabinets.
  • Strong sensory skills, such as good eyesight, good hearing, and dexterity.
  • Good speaking and listening skills.
  • Ability to perform focused work with close attention to detail.
  • Ability to operate office equipment, including computers, copiers, fax machines, and phones.
  • Ability to interact with others, both in person and through phone, e-mail, and written correspondence.
  • Ability to lift up to 25 pounds.

Work Schedule

This is a 100% on-site position. Standard office hours are 8:00 AM – 5:00 PM, including a one-hour lunch break.

Pay: $15.00 - $16.00 per hour

Expected hours: 40.0 per week
