JOB SUMMARY – The Executive Assistant works under the direction of the Sr. Executive Assistant and supports the Executive Secretary Treasurer (EST) by managing and handling administrative tasks of the Executive Office, ensuring smooth business operations to support the Funds.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Provides administrative support for the Executive Secretary Treasurer (EST) in a variety of tasks under the direction of the Sr. Executive Assistant to ensure smooth day-today engagements
- Answer, assist, and triage incoming phone calls and emails through a shared email box
- Complete a broad variety of administrative tasks that facilitates the EST’s ability to effectively lead the organization, including assisting with special projects; designing and producing PowerPoint presentations; composing and preparing correspondence and making travel arrangements.
- Arrange and handle all logistics of meetings and events: including but not limited to scheduling meetings; compiling meeting and presentation materials and coordinating & assisting with catering set up & clean up
- Provide event/meeting support and hospitality to all guests
- Invest in building long-lasting relationships both externally and internally
- Handle notifications to trustees, leadership, locals, chapters and employers where appropriate
- Periodically, provide safe and timely transport of external and internal guests traveling to and from various area airports and terminals to or from the NEBF office
- Learning all essential functions of the Sr. Executive Assistant and backup
- Other general administrative duties as assigned
REQUIRED AND PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
- 3 years of experience in an executive office environment preferred
- High School Diploma required, college degree preferred
- Strong MS Office skills, must be proficient with PowerPoint, Outlook, and OneNote
- Strong verbal and written communication skills
- Ability to work independently; ability to complete a high volume of tasks and projects with little or no guidance
- Ability to multi-task
- Must be able to meet deadlines
- Demonstrate ability to manage multiple complex issues while maintaining a flexible, positive, and cooperative demeanor
- Responds promptly to operations leaders and stakeholders to facilitate informed decision-making
- Troubleshoots assigned issues, gathers evidence and investigates all relevant information with participants, vendors, and internal departments to resolve the problem in a cooperative and collaborative manner
- Presents a professional image in the office
- Hybrid eligible position with in-office assignment for at least the first 6 months
- This position requires a clean driving record. NEBF will check an applicant’s driving record after extending a conditional offer
