Duties
- Greet visitors warmly, manage front desk operations, and ensure a professional first impression
- Operate multi-line phone systems to answer inquiries, direct calls, text messages , emails, Social media messages and provide exceptional customer support.
- Manage scheduling tasks including calendar management and appointment setting for staff and executives
- Handle data entry, filing, and document proofreading to maintain accurate records and organized files
- Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping
- Support office management activities such as supply ordering, mail distribution, and maintaining office cleanliness
- Provide personal assistant support by managing correspondence, preparing reports, and coordinating meetings
- Keeping Inventory Log of all supplies , tips, clients payment etc.
- Occasional errands needed by CEO/Owner and managing staff
Skills
- Proven experience in front desk operations and office management with excellent organizational skills
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Exceptional phone etiquette with experience handling multi-line phone systems in a professional manner
- Bilingual abilities are highly desirable to assist diverse client and visitor needs
- Demonstrated clerical experience with data entry, filing, proofreading, and document management
- Excellent time management skills to prioritize tasks efficiently in a fast-paced environment
- Customer service orientation with a friendly demeanor and strong interpersonal skills
- Familiarity with bookkeeping software such as QuickBooks and basic accounting principles is a plus
