Receptionist / Office Assistant
We are seeking a professional, organized Receptionist to join our team. The ideal candidate will be friendly, dependable, compassionate, and able to communicate effectively with homeowners, renters, and staff in both English and Spanish.
This position requires someone who can provide excellent customer service, handle administrative tasks efficiently, and maintain professionalism in a fast-paced office environment.
Responsibilities include:
• Greet all visitors with a warm, friendly, and professional demeanor
• Facilitate problem-solving involving HOA owners and renters
• Correspond with homeowners and renters regarding updates and emergencies
• Assist the Controller in all accounting functions, including bank reconciliations and check entry
• Write emails, memos, and text messages to HOA residents as needed
• Exercise compassion, patience, and understanding when dealing with homeowners and renters
• Order and maintain office and kitchen supply inventory
• Mail and email monthly statements to owners
• Open, prioritize, and distribute mail
• Send out mailings and correspondence as needed
• Order meals for company meetings
Qualifications:
• Strong verbal and written communication skills
• Excellent customer service and interpersonal skills
• Strong organizational and multitasking abilities
• Basic accounting or bookkeeping experience preferred
• Proficiency in Microsoft Office and general office systems
• Ability to remain calm, patient, and professional in challenging situations
