Role Description
We are seeking a full-time Estimating Coordinator to join our team in an on-site role based in Ontario, CA. The Estimating Coordinator will be responsible for managing and preparing construction cost estimates, creating and submitting proposals, collaborating with team members to ensure accurate cost assessments, and tracking project expenses. Additional responsibilities include providing administrative assistance and maintaining effective communication with internal teams and external stakeholders.
Key Responsibilities:
- Track and manage incoming bid invitations, RFQs, and customer inquiries.
- Maintain and update sales CRM, bid log, and proposal tracking tools.
- Coordinate with the estimating team to ensure timely responses to clients.
- Prepare and submit prequalification documents and bid forms.
- Support outside sales and business development reps with follow-up, scheduling, and client communication.
- Assist with drafting proposals, letters of intent, and sales correspondence.
- Act as a liaison between clients and internal departments to ensure accurate and timely information flow.
- Monitor upcoming project opportunities via bid platforms (e.g., BuildingConnected, SmartBid, Dodge).
Qualifications:
- 2 years of experience in construction administration, estimating coordination, or a related role (rebar or structural steel experience preferred).
- Experience with estimating programs (Soule experience is a plus but not required.)
- Familiarity with construction plans, specifications, and bid platforms (e.g., BuildingConnected, Procore, SmartBid).
- Strong organizational skills with the ability to manage multiple bids and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Excel, Outlook, Word); CRM and bid platform experience a plus.
- Self-motivated, detail-oriented, and capable of working in a fast-paced environment.
