MoveSmart Rentals helps property owners lease their rental properties with more structure, visibility, and support. We coordinate the listing process, owner communication, property readiness, documentation, and leasing administration through an organized and process-driven workflow.
We are looking for a highly organized Listing Operations Manager to lead and manage the Listing Operations Coordinator team. This person will be responsible for making sure listing operations run smoothly, files are accurate, required information is complete, listing updates are handled properly, and coordinators are following the correct processes every day.

The Listing Operations Manager will oversee the daily listing operations workflow between MoveSmart Rentals, internal team members, Listing Operations Coordinators, and our partner brokerage.
This is a management role for someone who is strong in administrative operations, quality control, team accountability, reporting, process discipline, and high-volume file management.
The right person must be able to manage coordinators, review their work, catch errors, track blocked files, follow up on missing information, enforce checklists, train team members, and make sure listing files are moving forward accurately and on time.

Responsibilities
- Manage the Listing Operations Coordinator team and oversee daily listing workflow
- Assign, monitor, and follow up on listing files, tasks, updates, and pending items
- Ensure listing files are accurate, complete, properly documented, and ready before submission or update
- Review coordinator work for accuracy, completeness, and process compliance
- Track active files, blocked files, pending documents, missing information, and urgent updates
- Ensure coordinators properly enter and update listing information in the CRM and internal systems
- Monitor listing details, including address, rent amount, availability date, unit details, parking, locker, utilities, inclusions, photos, access instructions, and showing instructions
- Coordinate listing administration and updates between MoveSmart Rentals and the partner brokerage
- Ensure price changes, status changes, leased updates, cancellations, and other listing-related updates are handled through the correct process
- Create, improve, and enforce checklists, SOPs, workflows, and quality-control standards
- Train new Listing Operations Coordinators on systems, processes, accuracy standards, and communication expectations
- Coach coordinators on performance, organization, follow-up discipline, and error prevention
- Identify file delays, process gaps, recurring mistakes, and coordinator performance issues
- Escalate blocked files, missing information, or urgent issues to the appropriate internal team members
- Provide clear daily reporting on listing status, team output, pending items, blocked files, and completed work
- Maintain a high standard of accuracy, responsiveness, and accountability across the listing operations team
- Bachelor’s degree required in Business Administration, Management, Operations, Real Estate, Finance, Accounting, Legal Studies, Communications, or another related business or administrative field
- Equivalent strong experience may be considered for exceptional candidates
- Minimum 5 years of full-time experience in administrative operations, real estate administration, property management operations, listing coordination, brokerage administration, transaction coordination, mortgage processing, insurance administration, legal administration, logistics coordination, back-office operations, or similar work
- Minimum 2 years of experience managing admin, operations, coordination, processing, back-office, or remote support staff
- Strong experience managing high-volume files, documentation, trackers, deadlines, and follow-ups
- Strong quality-control mindset and ability to catch small errors before they create larger problems
- Excellent written and verbal English communication skills
- Strong ability to organize work, manage priorities, and keep multiple files moving at once
