What are the responsibilities and job description for the Accounting/Office Assistant position at Motion Technology, Inc.?
Role Overview:
Manufacturing company located in Hudson, MA - this position reports directly to the Controller and plays a key role supporting the accounting department in various tasks as well as supporting other departments. Must be a self-starter, able to multi-task, be organized and very detailed oriented. Excellent written and verbal communication skills are necessary.
Duties mainly consist of:
Accounts Payable - match POs to Invoices, resolve discrepancies, general ledger coding, and entering data into QuickBooks. Assist with check processing when needed, file paperwork and mail checks.
Accounts Receivable – process credit references for terms approval, post deposits to customer accounts, collections calls, process refunds. Send out payment links for online payment processing of machine orders.
Billing – invoice all sales and webstore orders both net terms and credit cards verifying the accuracy of purchase orders containing quantities, pricing, freight costs, ship via methods and proper billing and shipping address information.
RMA’s – track customer returns for credit or refund, determine re-stocking charges, review and monitor RMA log for accuracy and close out open RMAs.
Inventory – manage all offsite inventory (evaluations and test units). Consists of issuing contracts, follow up with sales team when units are due back and coordinate all machine order returns. Maintain and track machine Inventory designated for Trade Shows, Showroom, Prototype, Repairs, Office etc.
Finance program – oversee our leasing program, perform credit reference check using Experian and checking on customer bank and trade references, prepare and send out finance packets and agreements. Send out payment reminders and payment links.
Other responsibilities – order office supplies as needed, oversee office cleaning company, plan annual office holiday party.
Professional Qualifications and Requirements:
- Knowledge of accounting procedures and attention to detail is extremely important.
- Excellent computer skills in MS Office Suite, Outlook & Internet applications.
- Excellent organizational and recordkeeping skills.
- Ability to multitask and prioritize based on established daily, monthly and annual timelines.
- Self-Starter and ability to work independently.
- QuickBooks Desktop Enterprise experience strongly preferred.

· Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
- Ability to work with peers and senior management.
- Self-motivated with critical attention to detail and deadlines.
All other duties – Perform all other duties as assigned, including carrying out responsibilities, performing duties, using skills, and working in conditions necessary to perform all assigned tasks.
This is a full-time hourly position Monday through Friday 8am to 5pm. Benefits included after 90 day wait period.
