Duties
- Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and valued
- Answer multi-line phone systems promptly and efficiently, directing calls to appropriate departments or personnel
- Manage appointment scheduling, calendar management, and coordinate meetings using Google Workspace and Microsoft Office tools
- Handle data entry, filing, and document proofreading to maintain accurate records and ensure document integrity
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries in person or over the phone with excellent phone etiquette and professionalism
- Assist with clerical tasks including typing correspondence, organizing files, and maintaining office cleanliness and organization
Skills
- Proven experience with office management, administrative support, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently
- Bilingual abilities are highly desirable to serve diverse client needs
- Familiarity with multi-line phone systems and professional phone etiquette
- Experience with QuickBooks for bookkeeping and basic office accounting tasks
- Knowledge of dental or medical receptionist duties is a plus but not required; relevant personal assistant experience is beneficial
- Strong attention to detail for proofreading documents and managing schedules accurately
- Must be bilingual (English/Spanish)
