Position Summary
The Administrative Assistant is responsible for customer service, office coordination, order processing, and overall business support. The ideal candidate is organized, detail-oriented, able to work independently, and demonstrates strong critical-thinking skills.
This is a full-time, permanent on-site position. Remote or hybrid work is not available.
Schedule

- 7:00 AM to 3:30 PM

- No evenings or weekends
Key ResponsibilitiesCustomer Service
- Answer and route incoming calls professionally
- Assist customers with inquiries, orders, and general support
- Enter new client leads into CRM system
- Support administrative staff with customer intake paperwork and estimates
- Maintain a friendly, positive, and professional attitude in all interactions
Order Processing & Shipping
- Assist shipping staff with order fulfillment and packaging
- Process customer orders accurately and efficiently
- Coordinate with production to ensure timely shipment
- Package small orders as needed
Inventory & Product Support
- Perform scheduled inventory counts with the Inventory Manager
- Receive and restock incoming packages
- Assist with assembling and packaging products
- Take product photos for website updates
- Update website stock as needed
Data Entry
- Enter monthly expenses and vendor invoices into accounting software
Administrative Support
- Support general office operations and ongoing projects
- Create documents, forms, and checklists
- Update company manuals as needed
- Assist with new employee onboarding and interview scheduling
- Update project boards and perform general office tasks (laminating, filing, etc.)
Office Cleaning
- Help maintain a clean, organized, and professional work environment
Qualifications
- Previous administrative or similar experience
- Strong communication and customer service skills
- Excellent organization and attention to detail
- Ability to multitask and prioritize in a fast-paced setting
- Shipping/receiving experience a plus, but not required
- QuickBooks experience a plus, but not required
- Proficiency with Microsoft Office Suite
- Experience in the racing or automotive industry strongly preferred
