Monmouth Cyber is a fast-growing Managed IT Services and Cybersecurity firm serving businesses across New Jersey. We are looking for someone who can keep up and help us operate at the next level.

We are hiring an Administrative Assistant who is sharp, independent, and takes ownership. This is not a passive role. You will be the operational glue between our leadership team and the rest of the organization, making sure things get done, procedures get followed, and nothing falls through the cracks.

What You Will Own

Billing and Accounts Receivable. Own the full billing process end to end including invoicing, collections, credit card reconciliation, and coordination with our accountant. Work directly inside QuickBooks, ConnectBooster, and Autotask to keep our financials organized and current.

Scheduling and Calendar Management. Manage leadership calendars, schedule meetings, appointments, and follow ups. Prioritize competing demands and keep leadership focused on what matters most.

Project and Procedure Coordination. When a procedure is implemented you make sure it is being followed. When a project is in motion you track it, follow up with the team, and make sure deadlines are met. You are the bridge between leadership decisions and team execution.

Client and Vendor Correspondence. Handle communications professionally and promptly on behalf of leadership. Respond to routine inquiries, coordinate with vendors, and ensure nothing goes unanswered.

Documentation and File Management. Maintain accurate organized records, files, and documentation across all systems.

Office Operations and Errands. Support day to day office operations including local errands, post office runs, and checking on office locations as needed. Keep the office running smoothly so leadership can stay focused.

Team Coordination. Work alongside the technical team, client success, and sales to ensure internal tasks and priorities are communicated clearly and followed through. You have mild authority to hold team members accountable to deadlines and deliverables on behalf of leadership.

Specifically you are highly organized with exceptional attention to detail. Independent and self-motivated, you own your work completely. A quick thinker who handles competing priorities without losing focus. A strong communicator in writing and in person. Professional and polished in every interaction. A true team player who makes everyone around them better. Proficient with QuickBooks, Microsoft 365, and Teams. Willingness to learn Kaseya tools including Autotask and ConnectBooster.
