Job Summary
Under general supervision, responsible for the creation, maintenance and accuracy of inventory purchasing records in order to ensure adequate levels. Procures non-inventory goods and services as contracted by the Purchasing Department.
Responsibilities
Core Duties
- Create purchase orders for supplies and services for multiple facilities within the health system
- Responsible for placing orders, following up, and acknowledging receipt of those orders at the vendor to ensure timely shipment of supplies.
- Work closely with AP and Receiving to ensure Purchase orders are accurately keyed and received for timely invoice payment.

- Must be able to communicate effectively with departments, vendors, and sales reps to ensure timely placement of purchase orders
- Must be able to multitask in a face paced environment with little oversight.
Purchasing for the Hospital and Its Affiliates
Consistently obtains the best product at the best price. Always considers contract parameters. Maintains current awareness of law, regulations and new developments as they affect the products and services acquired. Contacts vendors to order non-inventory items obtained through purchase orders to ensure adequate hospital supplies. Inputs appropriate information into the computer system to ensure accurate hospital department records. Places weekly orders for standard hospital forms. Calls in orders and following established protocols for each type of order and prioritization. Orders are placed within established timeframe. Works with Accounts Payable in resolving invoice variances for items by utilizing contracts and contracting vendors. Generates various reports and cost analyses by selecting appropriate data and menu selections from the computer system to provide timely and accurate information. Assigns appropriate general ledger account numbers based on established guidelines. Performs other related duties as needed to support the achievement of departmental goals and objectives. Meets with sales representatives, researches products, and selects vendor supply sources. Communicates effectively. Reviews requisitions for correct data, including ordering number, vendor, price and expense class. Always verifies correct prices. Ensures proper level of authorization has been met before ordering. Consistently places orders within established timeframe for routine and stat orders. Uses E-commerce, where appropriate, for placing orders. Confers with sales reps to resolve backorders and returns. Reviews and follows up on backorders as needed/requested. Uses good judgment in decisions regarding purchasing group contracts. Meets the information needs of department managers regarding purchasing issues; is perceived as responsive and knowledgeable.
Knowledge, Skills & Abilities
1 year in (procurement or related field-Bachelor’s Degree will be considered in lieu of experience).
