What You’ll Do
Event Planning and Execution
- Collaborate across teams (business development, recruiting, consulting, and marketing) and with external vendors to plan and execute conferences and events
- Manage logistics such as registrations, deadlines, materials preparation, booth setup, and on-site support when needed
- Coordinate event communications and RSVPs for both internal and external audiences
- Maintain and update event planning checklists and timelines, ensuring smooth execution and cross-team alignment
- Plan and manage hosted events by sourcing and vetting venues and vendors (e.g., catering, A/V, entertainment) based on quality, cost, and reliability
- Support guest communication efforts, manage attendee lists, and assist with email drafting and follow-up
- Negotiate contracts and logistics with event venues; oversee execution to ensure events meet established standards
- Prepare and manage event-day operations through detailed planning and on-site coordination
- Assist hiring teams with logistics for recruiting campaigns, including venue research, scheduling, and travel coordination for candidates
- Serve as a point of contact for candidates, providing timely updates and coordinating logistics
- Represent the organization at campus recruiting events and career fairs, including some travel during peak seasons
- Liaise with universities and explore outreach opportunities to connect with high-potential talent
- Help drive internal initiatives by tracking progress, coordinating team efforts, and managing supporting logistics
- Assist with community engagement and corporate social responsibility projects
- Coordinate travel logistics and on-site needs for various team initiatives
- Provide general operational assistance, including support for vendor coordination, office maintenance, gifting programs, and special projects
- Holds a bachelor’s degree (any discipline); candidates with equivalent skills or alternative credentials are also considered
- At least 3 years of work experience in event planning, working in large scale and with multiple vendors at a time
- Intellectually curious, adaptable, and comfortable working across varied responsibilities in a fast-paced, collaborative environment
- Technically adept, with the ability to work confidently in spreadsheets, manage budgets, interpret data, and navigate software tools and digital platforms
- Strong written and verbal communication skills, with the ability to tailor messaging for different audiences and work styles, including senior leaders
- Skilled in crafting clear, concise, and grammatically correct written materials such as instructions, emails, and event documentation
- Highly collaborative and professional, with a positive attitude and the ability to build strong working relationships across teams
- Exceptionally organized and detail-oriented; able to manage multiple deadlines while maintaining accuracy and quality
- Exercises discretion and professionalism, especially when handling confidential or sensitive information
- Uses sound judgment and maintains perspective, even when working with time-constrained or detail-light colleagues
- Self-directed and proactive—takes initiative, follows through without needing close oversight, and learns new tools or systems independently
- Brings a process-minded approach: adheres to established procedures, improves workflows, and considers how their work integrates into broader operations
