Overview
We are seeking a dynamic and detail-oriented Administrative Assistant specializing in Billing and Reception to join our team. This vital role combines front desk responsibilities with billing support, ensuring smooth office operations and exceptional customer service. The ideal candidate will be energetic, highly organized, and possess excellent communication skills to manage multiple tasks efficiently. You will serve as the first point of contact for visitors and callers while handling billing processes with accuracy and professionalism. Responsibilities

  • Greet visitors, answer multi-line phone systems, and manage front desk operations with professionalism and warmth
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Process billing using QuickBooks or similar accounting software, ensuring accuracy in data entry and bookkeeping tasks
  • Handle clerical duties such as filing, proofreading documents, data entry, and maintaining organized records
  • Provide exceptional customer support by addressing inquiries promptly and courteously, both in person and over the phone
  • Manage office supplies inventory, perform basic office management tasks, and ensure the reception area remains welcoming
  • Assist with medical or dental receptionist duties as needed, including patient check-in/out and appointment scheduling

Experience

  • Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
  • Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems, phone etiquette, and customer service best practices
  • Bilingual abilities are a plus to effectively communicate with diverse clients or patients
  • Familiarity with QuickBooks for bookkeeping or billing tasks is highly desirable
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
