We are seeking an outgoing and friendly backup receptionist/administrative assistant for our law firm. The ideal candidate will provide support to the receptionist, who is the first point of contact for our clients, as well as other administrative responsibilities. This role requires strong administrative skills, excellent time management, and the ability to maintain an organized and efficient office environment.
- Manage the front desk during absences (lunch breaks, sick days, vacations) which include, but not limited to, welcoming clients as they come in, maintaining a professional environment.
- Answer incoming calls, directing them to the appropriate staff and taking down information for new clients.
- Manage and schedule attorney meetings on the calendar.
- Sort and distribute mail/delivered documents as needed.
- Maintain confidentiality of client and firm information.
- Assist with basic administrative tasks such as filing, scanning, and data entry.
- Coordinate with legal staff to support daily office operations.
- High school diploma or equivalent required.
- Proven experience in an administrative or front desk role is preferred.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing with staff and clients accordingly.
- Proficiency in basic office equipment and software including Microsoft Office (Word, Excel, Outlook).
- Ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Familiarity with calendar management is a plus.
- A positive attitude and a professional demeanor are essential for this role.
- Customer service and management software experience a plus
