Administrative Manager
Reports to: Executive Director, Finance Director, and Operations Director
Employment Type: Full-Time, Salaried
Compensation: $40,000–$47,000 annually, depending on experience
Schedule: Monday–Friday, 8:00 a.m.–4:00 p.m.; overtime as necessary

Position Summary
The Administrative Manager coordinates office procedures, manages supplies and records, prepares business documents, and provides administrative support to leadership and employees.
This position helps maintain efficient systems, accurate information, clear communication, and a professional and welcoming workplace.

Essential Duties and Responsibilities
- Coordinate office procedures and recommend improvements that support efficiency and compliance with MME policies.
- Maintain administrative workflows, schedules, and communications for office and organizational operations.
- Provide administrative support to leadership and other employees as assigned.
- Prepare, edit, and format correspondence, reports, memoranda, forms, presentations, and other business documents.
- Monitor office supply inventory and coordinate timely ordering and delivery.
- Oversee the ordering of approved supplies and other needs for MME programs and the individuals MME serves.
- Maintain accurate, current, and organized office files and records.
- Work with supervisors to develop and maintain consistent filing systems throughout MME.
- Protect confidential information and help maintain the accuracy and integrity of administrative records.
- Communicate administrative needs, deadlines, and concerns clearly and promptly.
- Help maintain a safe, secure, professional, and welcoming office environment.
- Assist with recruiting, onboarding, and training administrative employees as needed.
- Represent MME in the community when delegated by the Executive Director.
- Perform other duties consistent with the position as assigned.
Required Qualifications
- High school diploma or equivalent.
- Valid driver’s license and ability to meet MME driving requirements.
- Proficiency with Microsoft Word, Excel, PowerPoint, email, and standard office technology.
- Strong organizational, time-management, and prioritization skills.
- Clear and professional written and verbal communication skills.
- Strong attention to detail and practical problem-solving abilities.
- Ability to manage multiple responsibilities, meet deadlines, and adjust priorities as needs change.
- Ability to work professionally with employees, individuals receiving services, families, vendors, and community contacts.
- Ability to handle sensitive information with discretion and maintain confidentiality.
Preferred Qualifications
- Certificate in office management or business administration.
- College degree in business administration, management, human resources, or a related field.
- Previous experience coordinating office operations, administrative processes, records, or supplies.
Physical and Work Requirements
This position is primarily performed in an office setting and requires regular use of a computer, telephone, and standard office equipment. The employee must be able to communicate effectively, review detailed information, maintain records, and move throughout the workplace to complete assigned duties.
