The Administrative Assistant position is in the Police & Security Service line at the Minneapolis VA Health Care System. The incumbent provides administrative and clerical support to the Chief of Police and Deputy Chief of Police, Captains, and Administrative Officer.

Qualifications:

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/20/2026.

You may qualify based on your experience as described below:
  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: provide administrative and clerical support such as answering telephone calls, scheduling meetings or appointments, preparing written correspondences, and timekeeping/attendance duties for the service; gather, input and analyze data using spreadsheets and various databases; coordinate with different staff, departments and agencies to assist the service; awareness of privacy and security sensitivities in police reporting procedures; and utilizes computer programs and software such as Microsoft Office.

** Preferred Experience: Experience with Microsoft Office, ICARE values, basic concepts of ADPAC, familiarity with contracts, HRSmart and GPC programs.


Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: You will be asked to participate in a pre-employment examination or evaluation as part of the pre-employment process for this position. Questions about physical demands or environmental factors may be addressed at the time of evaluation or examination.

Physical Demands: The work involves some degree of physical effort in lifting heavy boxes of records being stored. Prolong periods of sitting.

Work Environment: The duties of this position will be performed in a variety of settings at various building where Police & Security Services are located and will be subject to interruptions and situations requiring skills intact and discretion. Incumbent must be familiar with the Minneapolis VA Medical Center.

Responsibilities:

Major duties include:
  • Performs timekeeping duties for department.
  • Make Arrangements and coordinate with other outside services for trainings of Police Officers.
  • Schedules meetings, transcribes minutes, gathers reports and tracks actions for committees.
  • Manage, coordinate, and route incoming and outgoing important correspondence.
  • Handles conflicts, problem solve and propose alternative approaches when there are difficulties with available materials and with other programs.
  • Manage a wide range of office methods, principles and practices applying knowledge for the smooth operation of VA Police & Security Service.
  • Manage access to ADPAC computer system for the service.
  • Utilizes a range of software applications spreadsheets, data bases, word processing in Internet to prepare correspondence.
  • Prepare a variety of documents into final form, ensuring correct grammar, punctuation, format and style.
  • Performs administrative audits, studies and reviews of Police Programs.
  • Handles conflict and problems in dealing with customers, constructively and appropriately.
  • Provide and communicate awareness of privacy and security issues including RIO in relation to VA Police Reports.
  • Advises leadership on all administrative matters affecting the department in a timely manner.
  • Other duties as assigned.

Work Schedule: Monday - Friday, 8:00am to 4:30pm
Telework: This position may be authorized for Ad Hoc telework only per agency policy. Telework eligibility will be discussed during the interview process.
