Administrative Assistant (Part-Time) Department: FISH – Families & Individuals Sharing Hope FLSA Status: Non-Exempt (Hourly)
Reports to: Executive Director
Schedule: 15–20 hours per week (flexible schedule with required meeting availability)
Position Summary
The Administrative Assistant provides part-time operational and administrative support to ensure the effective daily functioning of FISH. This role supports needs management, meeting coordination, social media marketing, donor acknowledgment, and organizational recordkeeping. Responsibilities are performed during scheduled working hours, with urgent matters escalated to the Executive Director as appropriate.
Client Service & Mission Alignment
- Provides responsive, professional, and confidential service to partners, donors, and the public.
- Upholds and reflects the mission and values of FISH in all communications. Needs & Website Management
- Manages FISH needs within the FISH website platform during scheduled work hours. Reviews, edits, and publishes needs in a timely manner.
- Fills needs in person or online
- Corresponds with need posters regarding deadlines and fulfillment status.
- Closes completed needs and establishes value of donated goods and services.
- Escalates urgent or time-sensitive needs to the Executive Director when appropriate.
- Maintains organized monthly tracking of incoming needs and donor activity.
Social Media & Marketing Support
- Publishes weekly 'Monday’s Most Needed' and 'Friday Featured Needs' posts.
- Distributes pre-designed 2nd Thursday flyers via website, social media, and Constant Contact.
- Maintains consistent and professional social media presence to help market FISH.
Meeting Coordination & Required Attendance
- 2nd Thursday Meeting – In person, second Thursday (11:30 AM–1:00 PM).
- Board Meeting – In person, fourth Wednesday at 1:00 PM.
- Program Committee – Zoom, second Monday at 9:00 AM.
- Executive Committee – Zoom, third Monday at 2:00 PM.
Coordinates logistics, sends reminders, prepares agendas, records and distributes minutes. Assists with in-person setup and cleanup.
Data Management & Recordkeeping
- Performs data entry and maintains accurate tracking systems.
- Maintains organized digital records.
- Tracks and reports monthly metrics including needs and donors.
- Sends timely thank-you communications for financial and in-kind donations.
Knowledge, Skills & Abilities
- Strong social media skills and ability to create engaging, mission-aligned content.
- Strong written and verbal communication skills.
- Ability to manage recurring deadlines within a part-time schedule.
- Strong organizational skills and attention to detail.
- Ability to work independently and maintain confidentiality.
Education & Experience
- High school diploma or GED required.
- Experience in administrative, nonprofit, communications, or social service role preferred.
- Experience managing social media platforms preferred.
Important Clarification
- This is a part-time hourly position averaging 15–20 hours per week.
- Responsibilities are expected to be completed during scheduled work hours.
- The ideal candidate resides within 10 minutes of Scott County and is well acquainted with the surrounding community and local resources.
Pay: $25.15 - $28.29 per hour
