Role Overview
The Patient Liaison is a front office position combining administrative reception duties with medical billing responsibilities. The ideal candidate will manage patient communications, schedule appointments, coordinate billing and insurance claims, and ensure that our electronic records are current and compliant with legal standards
Key ResponsibilitiesPatient Experience & Office Coordination
· Serve as the first point of contact for new and existing patients; greet patients in person and manage telephone and electronic communications
· Schedule, confirm, and remind patients of appointments, ensuring smooth flow and timely notification to providers
· Maintain updated patient charts and records within the electronic medical records (EMR) system, adhering to HIPAA guidelines
· Prepare and manage office documentation, including patient intake forms, treatment authorizations, and correspondence with providers and patients
Billing, Claims & Insurance Administration
· Review and verify insurance coverage, including processing governmental (e.g., Tricare) and commercial plans (e.g., PPO, HMO, EPO, HRA)
· Record and update financial information, including patient charges and copay collections, while resolving billing inquiries
· Initiate adjustments, process insurance and patient payments
Administrative & Technology Skills
· Proficient use of electronic medical records (EMR) systems, scheduling software, and patient management platforms
· Familiarity with TherapyNotes, Microsoft Office Suite, Adobe PDF, and eligibility verification systems like Availity
· Use telephone and digital communication systems to maintain a seamless workflow
· Handle electronic filing, data entry, and records retrieval using industry-standard office software and EMR systems
Work Activities & Context
· Handle various tasks such as scheduling, billing inquiries, and managing multiple communication channels concurrently
· Work closely with healthcare providers, billing departments, and insurance companies in a busy, dynamic, and highly structured office environment
· Operate in a professional setting characterized by frequent patient interactions, strict adherence to privacy practices, and the need for efficient problem-solving under moderate to high pressure
· Ensure accuracy in all billing and administrative work to support high-quality patient care and operational efficiency
Required Qualifications & Preferred Experience
· (REQUIRED) Minimum 1 year of experience as a medical receptionist or in a similar administrative capacity within a healthcare setting
· (REQUIRED) Prior experience in medical billing and collections; familiarity with ICD-10 coding and related billing processes is a plus
· (REQUIRED) Strong working knowledge of EMR systems and office software (Microsoft Office Suite, Adobe PDF)
· (REQUIRED) Experience with scheduling software and patient management systems is highly desired (TherapyNotes experience preferred)
· (REQUIRED) Proficient with eligibility and benefits inquiries, including the use of Availity or similar platforms
· In-depth understanding of HIPAA privacy and security regulations, as well as general healthcare compliance standards
· Excellent communication and interpersonal skills – both written and verbal
· Strong attention to detail, organizational prowess, and an aptitude for multitasking in a fast-paced environment
· A cooperative and dependable work style with a high tolerance for stress and a persistent approach to resolving issues
· High level of integrity and discretion, especially when dealing with sensitive patient information
· (PREFERRED) associate’s degree in medical office administration, healthcare administration, or related field
· (PREFERRED) Certification in medical administration, billing, health records, or related field
