Job Summary
Mill’s Concrete is looking for a dependable, organized, and solutions-oriented Operations Administrator to support our fleet and day-to-day operations.
This position plays an important role in keeping our vehicles, maintenance, inspections, inventory, reports, and operational systems organized and up to date. We are looking for someone who communicates well, stays calm under pressure, follows through on responsibilities, and is comfortable solving problems as they come up.
Because this position regularly communicates with employees in both English and Spanish, some conversational Spanish is required. You do not need to be fluent or speak professional-level Spanish, but you should be able to understand and communicate basic work-related information in Spanish.
The ideal candidate is proactive, detail-oriented, comfortable with technology, and able to work effectively with employees, management, mechanics, vendors, and other departments throughout the company.
Responsibilities
- Track company vehicles, maintenance, repairs, services, and inspections.
- Keep fleet records and company systems accurate and up to date.
- Communicate with mechanics, repair shops, vendors, and employees regarding vehicle issues and repairs.
- Communicate basic instructions and work-related information with Spanish-speaking employees when needed.
- Follow up on vehicle repairs and maintenance until issues are resolved.
- Help maintain DOT and fleet-related records and documentation.
- Keep driving and vehicle-related reports current.
- Track company inventory, including tools, trailers, equipment, and other company assets.
- Maintain accurate information about what equipment the company has and where it is located.
- Perform accurate data entry and maintain organized records.
- Work within systems such as T3, Maverik, WorkMax, Microsoft Excel, and other company software.
- Monitor upcoming services, inspections, and other operational needs.
- Identify missing information or potential problems and follow up before they become larger issues.
- Communicate effectively with field employees, foremen, management, mechanics, and vendors.
- Help solve day-to-day operational and fleet-related problems.
- Assist management with additional operational responsibilities as needed.
- Be available for occasional evening or weekend communication when urgent fleet or operational issues arise.

Qualifications
- Basic conversational Spanish required. Fluency is not required.

- Comfortable using Microsoft Office, especially Excel.
- Strong organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to prioritize responsibilities and work independently.
- Ability to remain calm and professional when unexpected problems arise.
- Previous experience in administration, operations, fleet management, inventory, logistics, or a related field is preferred.
- Basic vehicle knowledge and the ability to communicate effectively with mechanics is strongly preferred.
- Previous experience tracking inventory, equipment, vehicles, or company assets is preferred.

We are willing to train the right person on our specific systems and company processes.
What Success Looks Like
A successful Operations Administrator will help ensure that fleet information is accurate and current, vehicle maintenance and inspections are properly tracked, repairs are followed through until completion, and driving and DOT-related reports stay updated.
They will also help make sure company inventory is organized and accounted for, management can quickly determine the status and location of vehicles and equipment, and employees receive clear communication when operational issues arise.
Most importantly, this person should be able to recognize problems, remain calm, communicate with the right people, and follow through until the issue is resolved.
Schedule
This is a full-time, in-person position in Rexburg, Idaho.
The position primarily works during normal company operating hours. Because this role supports fleet and operations, occasional evening or weekend communication may be necessary when an urgent issue arises, such as a vehicle breakdown or repair that could affect the following workday.
About the Ideal Candidate
The ideal candidate is someone who can keep a lot of moving pieces organized without becoming overwhelmed. When something goes wrong, they stay calm, figure out what needs to happen next, communicate with the right people, and follow the issue through until it is resolved.
They do not need to be fully bilingual, but they should be comfortable enough with Spanish to understand and communicate basic information with Spanish-speaking employees.
