Miller Johnson, a rapidly growing Midwest law firm known for its entrepreneurial spirit, down to earth culture, and deep-rooted commitment to the communities we serve is looking for a Legal Administrative Assistant for our Real Estate Practice Group. In this role you will be a proactive case partner to assigned timekeepers, owning the administrative workflow that supports the efficient delivery of legal services within the Real Estate Practice Group. This role drives the day-to-day administrative coordination of client and matter activity ensuring deadlines are met, documentation is accurate, and operations run smoothly. Serving as a central point of organization and follow-through, consistently anticipating needs, managing competing priorities, and ensuring continuity of support for their timekeepers.
Key Responsibilities and Essential Functions
- Coordinates calendars for assigned timekeepers, ensuring internal & external deadlines, court dates, and key case milestones are accurately tracked and proactively managed.
- Monitors case progress across multiple real estate and litigation matters, helping ensure timely completion of case-related deliverables.
- Partners with assigned timekeepers to prioritize workload, manage shifting deadlines, and respond to urgent or time-sensitive client matters.
- Manages client intake, matter opening, and billing support functions with attention to detail and timeliness.
- Prepares, edits, proofreads, and assembles practice specific documents and correspondence (e.g., pleadings and closing binders) with a high degree of accuracy and consistency.
- Maintains organized physical and electronic case files, including management of case materials, exhibits, and filing documentation, in accordance with Firm and court requirements.
- Serves as a professional point of contact for clients, opposing counsel, courts, vendors, and internal stakeholders maintaining clear and responsive communication.
- Coordinates scheduling and logistics for client and court related activities (e.g., client meetings and depositions).
- Manages incoming and outgoing correspondence and mail, including court notices, service documents, and case-related communications.
- Coordinates travel arrangements and logistical needs for assigned timekeepers
- Actively participates in team-based coverage, ensuring continuity of support during absences or peak workload periods.
- Shares knowledge and supports process consistency across the legal support team and Real Estate Practice Group.
Education and Experience
- High school diploma or equivalent required
- Minimum of 2 years administrative experience supporting multiple timekeepers (attorneys or paralegals), or practice group/firm operations required
- Prior real estate and/or litigation practice group experience required
- Proficiency in Microsoft Office Suites (including Outlook, Word, and Excel) required
- Proficiency in NetDocs or other document management systems required
- Proficiency with Literia NTD or other automated document formatting systems preferred
- Proficiency with LMS accounting software for time entry and billing preferred

- Understands how legal support contributes to client service, litigation strategy, and matter outcomes. Anticipates needs and identifies opportunities to improve efficiency and workflow.
- Demonstrates working knowledge of state and federal court rules, filing procedures, scheduling requirements, and litigation support processes.
- Collaborates respectfully with team members, participates in coverage planning, and contributes to a supportive team environment.
- Demonstrates working knowledge of billing timelines, litigation matter lifecycles, and case progression from intake through resolution or trial.
