Job Skills / Requirements
This role is responsible for entering and maintaining accurate job, contract, inspection data, and for preparing and processing customer billing – including standard invoicing, recurring inspection/monitoring billing, and AIA-style progress billing.
Essential Functions and Responsibilities:
- Enter and maintain accurate data for work orders, contracts, and job files in the company's operations/accounting system.
- Review, approve, process and date agreements for customers.
- Prepare AIA billing documentation for construction and installation projects, including schedule of values, percentage of completion, retainage calculations, and approved change orders.
- Submit and manage progress billings, invoices, lien waivers, and supporting documentation through general contractor and customer billing portals.
- Track submittal status within each billing portal, respond to rejections or documentation requests, and follow up to ensure timely approval and payment.
- Ensure billing practices align with contract terms and customer requirements.
- Review all customer information and job information at the completion of each job to ensure accuracy.
- Assist with month-end billing close, reporting, and audit support.
- Maintain customer file information in the paperless filing software system.
- As this position develops, the employee may be assigned additional duties or special projects as deemed necessary by management.
- Assume responsibility for understanding and complying with Midwest Alarm attendance expectations.
