Job Summary The Administrative Assistant will provide essential clerical and administrative support to our CNC machine shop administrative team. This multifaceted role combines general office duties with key responsibilities in bookkeeping, customer service, purchasing, receiving, invoicing, and inventory management. The ideal candidate thrives in a fast-paced manufacturing environment, has excellent organizational skills, and enjoys being the go-to person for both internal staff and external customers/vendors.
Key Responsibilities
- Perform general clerical duties including data entry, filing, scanning documents, answering multi-line phones, managing email correspondence, scheduling appointments/meetings, and maintaining organized office and shop records.
- Prepare and process invoices, track payments, send statements, and follow up on accounts receivable as needed.
- Assist with basic bookkeeping tasks: record transactions, reconcile simple accounts, maintain expense logs, and support monthly financial close processes
- Manage purchasing activities: create purchase orders, source materials and supplies from vendors, negotiate basic pricing/terms when appropriate, and ensure timely ordering of shop consumables, tooling, and raw materials.
- Oversee receiving processes: verify incoming shipments against purchase orders, inspect for damage/accuracy, log receipts into ERP system, distribute materials to shop floor, and handle returns/discrepancies with suppliers.
- Monitor inventory levels and reorder points (order points) for commonly used items, parts, and supplies to prevent stockouts and maintain efficient shop operations.
- Maintain office and shop supply inventories; order office supplies as needed.
- Provide administrative support to shop supervisors, machinists, and management as required.
Qualifications & Requirements
- High school diploma or equivalent required; associate's degree in business administration or related field preferred.
- 2 years of administrative, clerical, or office support experience, preferably in a manufacturing, machine shop, or industrial environment.
- Working knowledge of bookkeeping principles and basic accounting practices.
- Experience with invoicing, purchase orders, receiving, and inventory management processes.
- Strong customer service skills with a professional phone and email presence and ability to handle inquiries calmly.
- Positive and cooperative attitude.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with ERP systems (e.g., Infor, Epicor, or similar manufacturing software) is a plus.
- Excellent organizational skills, attention to detail, and ability to prioritize tasks in a busy environment.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively as part of a small team.
- Reliable, punctual, and able to maintain confidentiality with sensitive business or personnel information.
- Ability to follow written or verbal instructions
Preferred Skills
- Familiarity with manufacturing terms, shop processes, or machining environments.
- Experience monitoring reorder points and maintaining min/max inventory levels.
- Knowledge of accounting and bookkeeping principles and practices
