POSITION: SECRETARY TO THE ELEMENTARY PRINCIPAL
REPORTS TO: Westview Elementary Principal
WORK SCHEDULE: 8 hours per day; 215 days per year
WAGES: Job Class I per Local 2654 CBA
JOB GOAL: To ensure the efficient management of the school office and serve as secretary to the principal.

QUALIFICATIONS:
- High School Diploma required, Post-secondary education or Associate Degree preferred.
- Three years experience in a K-12 public school office position preferred.
- Highly proficient in school computer software (i.e., MS Office, AS400, Power School, School Dude, Google Suite).
- Outstanding organizational skills.
- Demonstrated good judgment and initiative.
- Ability to work under stress, meet deadlines, and handle crisis situations as needed.
- Ability to prioritize tasks; work with little supervision, as well as, a productive member of a team.
- Ability to work with students, parents, staff, district employees, and external agencies.
ESSENTIAL DUTIES INCLUDE, BUT NOT LIMITED TO:
- Maintains a high degree of proficiency in secretarial skills to provide timely, neat and accurate work.
- Receives, acknowledges, and answers inquiries or channels to appropriate staff members.
- Maintains an awareness of the importance of good public relations in handling all matters while maintaining strict standards of confidentiality in all matters.
- Adept at diffusing potentially volatile situations.
- Assists students, parents, administrators, and staff as needed.
- Performs the necessary duties and functions related to the processing of substitute teachers and building paraprofessionals
- Performs a variety of duties related to the opening and closing of the school year
- Orders, stores and distributes office and general teacher supplies and forms
- Organizes all incoming and outgoing office mail
- Maintains various and appropriate filing systems.
- Creates purchase orders; assists with tracking school accounts/budget(s).
- Creates letters, memos, newsletters, and other written school communications.
- Gathers data and generates reports and creates presentations.
- Maintains building calendar; assists with the set up of meetings, orientations, and events.
- Familiar with and follow FERPA and HIPPA laws.
- Assists with school improvement process and reports.
- Coordinates principal’s schedule.
- Responsible for substitute teacher check-in/check-out.
- Communicates crisis management notifications per administration
- Performs such other duties and functions as assigned by the Principal.
