MHMATTERS365 is seeking a motivated, personable, and highly organized Behavioral Health Outreach & Patient Access Coordinator to join our growing outpatient mental health practice. This position combines patient access, referral coordination, administrative support, marketing, and community outreach.
The ideal candidate is someone who provides excellent customer service, communicates confidently with patients and community partners, takes initiative, and enjoys helping connect individuals and families with behavioral health services.
Responsibilities include:
- Answer incoming calls and return patient voicemails/messages in a timely and professional manner.
- Schedule, reschedule, and confirm patient appointments.
- Assist new patients and families with the intake and scheduling process.
- Receive, process, and track incoming referrals.
- Follow up with physician offices and other referral sources for missing documentation.
- Maintain accurate referral and outreach tracking.
- Communicate professionally with patients, families, providers, schools, and community organizations.
- Conduct outreach to pediatricians, primary care offices, schools, colleges, residential programs, and community organizations.
- Build and maintain relationships with current and potential referral partners.
- Plan, coordinate, and host Lunch & Learns to educate community partners about MHMATTERS365 services and the referral process.
- Visit potential referral sources to introduce the practice and distribute marketing/referral materials.
- Represent MHMATTERS365 at community events, health fairs, school events, networking events, and other outreach opportunities.
- Assist with practice marketing and promotional activities.
- Follow up with community contacts after meetings, events, and Lunch & Learns.
- Identify new outreach and referral opportunities within the community.
- Maintain confidentiality and comply with HIPAA requirements.
- Perform additional administrative and outreach duties as assigned.
Schedule: Part-time, approximately 15–20 hours per week. Schedule will include office/administrative hours with occasional evening or weekend community events. Local travel for outreach, networking, and Lunch & Learn presentations is required.
Qualifications: High school diploma or equivalent required. Experience in behavioral health, healthcare, medical-office administration, scheduling, customer service, marketing, sales, or community outreach is preferred. Candidates should have strong communication and organizational skills, basic computer proficiency, reliable transportation for community outreach, and be comfortable speaking with healthcare professionals and community organizations.
Ideal Candidate: We are looking for someone who is outgoing, dependable, professional, organized, and self-motivated. This is not strictly a desk position. The successful candidate should be equally comfortable answering patient calls and coordinating referrals as they are visiting a physician’s office, networking at a community event, or presenting MHMATTERS365 services during a Lunch & Learn.
About MHMATTERS365: We are an outpatient behavioral health practice providing psychiatric evaluations, medication management, therapy, and mental health services for children, adolescents, and adults.
Mental health matters 365 days a year.
Pay: $11.00 - $14.00 per hour
