About Us
We are a non-profit organization specializing in CFSS Consultation Services under Minnesota’s Community First Services and Supports (CFSS) program. We are seeking a highly organized Scheduler to coordinate consultation appointments, manage communication with participants and lead agencies, and support the administrative workflow for our CFSS Consultation team.
Job Summary
The CFSS Scheduler is responsible for scheduling and coordinating all CFSS Consultation appointments, monitoring service authorization requirements, tracking pending documentation, and ensuring timely follow-up with participants, families, and care coordinators. This position is crucial for maintaining compliance, supporting smooth operations, and ensuring that participants receive timely consultation services.
Responsibilities
- Schedule CFSS Consultation Sessions with participants.
- Confirm active Service Authorizations and eligibility before scheduling appointments.
- Communicate with participants, their representatives, and care coordinators/lead agencies regarding upcoming sessions, required documents, and next steps.
- Track session statuses (scheduled, completed, rescheduled, no-show, etc.).
- Monitor MNChoices for updates, assigned tasks, and assessment statuses.
- Coordinate follow-up reminders for signatures, plan reviews, and document returns.
- Update scheduling and tracking systems daily.
- Support Consultation Workers with scheduling requests, urgent follow-ups, and coordination needs.
- Handle incoming calls and assist participants with appointment-related questions.
- Maintain accurate documentation and professional communication at all times.
Qualifications
Required:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and problem-solve in a fast-paced environment.
- Comfort working with diverse families and individuals.
- Proficiency with computer systems (Microsoft Office, scheduling software).
- Professional, calm, and friendly customer service skills.
Preferred:
- Two years of scheduling experience preferred, especially in healthcare, home care, or human services settings.
- Experience in CFSS, PCA, HCBS, or related home- and community-based programs.
- Familiarity with MNChoices, Service Authorizations, and CFSS Consultation processes.
- Bilingual abilities are a plus.
Schedule & Compensation
- Full-time (Monday–Friday).
- Competitive hourly wage based on experience.
